BrightHaven Cleaning Co. (“we,” “our,” or “the Company”) is committed to protecting the privacy, personal information, and security of our clients, website visitors, and service users. This Privacy, Data, and Client Security Policy explains what information we collect, how we use it, how it is stored, and the rights you have regarding your data. By using our website or booking services with us, you consent to the terms outlined in this policy.

1. INFORMATION WE COLLECT

We may collect the following types of information when you request a quote, book a service, submit a form, or otherwise interact with us:

Personal & Contact Information

  • Name, phone number, email address

  • Home or business address

  • Preferred communication method

Service & Home Information

  • Square footage, number of rooms, flooring type, cleaning preferences

  • Access instructions (lockbox code, alarm code, garage code, etc.)

  • Pet information or special safety notes

  • Before/after photos of areas serviced (with permission when applicable)

Payment & Billing Information

  • Card-on-file or invoice payment details (processed through third-party payment processors; full card numbers are not stored by us)

Website & Technical Information

  • Form submissions, browser type, device information, IP address

  • Cookies and analytics (now or in future, including Google Analytics or pixels)

2. HOW WE USE YOUR INFORMATION

We use collected information to:

  • Provide estimates, quotes, and scheduled services

  • Process payments and issue invoices

  • Communicate appointment reminders, updates, and service notes

  • Maintain internal service records and technician training files

  • Improve website experience and service quality

  • Send optional updates, promotions, and customer satisfaction messages (only with consent)

We do not sell, rent, or trade personal data.

3. PHOTO, MEDIA, AND MARKETING CONSENT

  • Before/after photos may be taken for internal documentation, quality control, or training.

  • Photos used for marketing, website, or social media will only be used with written client consent, and no identifying personal items (family photos, mail, children, etc.) will be shown or will be blurred if present.

  • Clients may revoke marketing photo consent at any time in writing.

4. HOME ACCESS, SECURITY CODES, AND PRIVACY IN CLIENT HOMES

If you provide access instructions (key, lockbox, keypad, garage code, etc.), they are used solely for the purpose of completing scheduled services.

  • Access details are stored securely and are only available to authorized personnel.

  • If you discontinue service, all stored access codes will be permanently deleted.

  • Technicians are not permitted to open closed drawers, closets, or personal storage unless requested by the client.

 

5. PAYMENT PROCESSING AND FINANCIAL DATA

Payments are processed securely through a trusted third-party payment processor.

  • We do not store or have access to full card numbers.

  • Card-on-file storage is encrypted and managed by the payment platform.

  • Clients may request removal of stored payment information at any time.

 

6. SMS, EMAIL, AND COMMUNICATION CONSENT

By submitting your phone number or email, you consent to receive service-related communication such as:

  • Appointment confirmations and reminders

  • ETA notifications from technicians

  • Reschedule or weather-related updates

  • Service follow-ups and receipts

You may opt out of marketing emails or texts at any time. Transactional communications related to scheduled service cannot be disabled.

 

7. DATA SHARING AND THIRD PARTIES

We may share limited data with trusted service providers who assist with:

  • Payment processing

  • Appointment scheduling

  • Email or SMS delivery

  • Website hosting or analytics

These providers are not permitted to sell or use your data for any reason other than performing contracted services.

We do not sell or disclose personal information to outside companies, advertisers, or data brokers.

 

8. DATA STORAGE, RETENTION, AND DELETION REQUESTS

Data is retained only as long as necessary to provide services, maintain records, or comply with legal obligations. You may request removal of your data at any time by emailing us. Upon request, we will:

  • Delete stored personal information

  • Remove payment and access information

  • Remove marketing photo permissions

  • Close your client file

 

9. CHILDREN’S PRIVACY

We do not knowingly collect data from anyone under the age of 18. Minors cannot book services or enter contracts with the Company. If information is submitted by a minor, it will be deleted.

 

10. YOUR RIGHTS

You have the right to:

  • Request a copy of the personal information we have on file

  • Request correction or deletion

  • Withdraw consent for non-essential data use (ex: marketing photos, SMS alerts)

  • Ask how your information is being used or stored

We may update this policy as needed. The “Last Updated” date will always be posted at the top of this page. Continued use of our website or services constitutes acceptance of any changes.
